Citizens Bank Rolls Out GoldTracks Records Management System

Financial Systems & Equipment's solution tracks loans throughout their life cycle for increased time and budget efficiencies.

Citizens Bank ($284 million in total assets) has deployed Lenexa, Kan.-based Financial Systems & Equipment's (FS&E) GoldTracks records management system. Initially, the Fort Scott, Kan.-based bank will use the document tracking and imaging solution to automate and centralize its loan operations.

Citizens Bank will use GoldTracks' custom-designed workflow functions to track loans throughout their life cycle, including during the prefunding approval process and before loans are posted to the bank's core system. The solution will allow bank staff to scan documents at each branch, providing immediate access to those documents for all authorized personnel throughout the bank. Citizens also plans to roll out the solution's workflow capabilities to other departments, ultimately providing a single repository for all of the bank's imaged documents.

Before installing the software, Citizens Bank used couriers to transport loan documents among branches. "We at Citizens Bank believe GoldTracks will help us meet three of our very important goals, which are: our commitment to becoming green, our commitment to improved customer service and our constant push for greater efficiency," said Paul Newman, the bank's VP, in a release. "In addition, the cost savings in courier costs will ... lead to an impressive return on our investment."
